Handover is the single most important day in a project's insurance calendar: this is where the works cross over from the world of CAR into the world of operational property. This checklist makes sure that no gap opens up at that changeover – in timing or in content. Background: the after-handover article and the start-to-finish article.
In brief:
- Three stages: 30 days before handover · on the day of handover · afterwards.
- The two main goals: live property insurance on the finished works from the day of handover + an active maintenance extension.
- For a partial handover, the list runs separately for each part.
Before handover (about 30 days out)
- ☐ The quote process for operational (property) insurance has been started – with the finished works' data (area, structure, technology, values)
- ☐ The maintenance extension's existence and content have been checked (which level? until when? – article)
- ☐ For early occupation (moving in ahead of schedule): the cover position has been agreed with the insurer in advance
- ☐ Someone is appointed to manage the changeover (name!)
On the day of handover
- ☐ Handover record: date recorded – this is the changeover date for cover
- ☐ The property insurance's period of cover for the finished works starts on this day (not "next week")
- ☐ Photo documentation of the finished condition (useful for both maintenance-period disputes and as a basis for the property insurance)
- ☐ For a partial handover: the precise boundary of the part handed over, set out in the record
Immediately afterwards
- ☐ Notify the fact of handover to the CAR insurer (closing the project cover / starting the maintenance stage)
- ☐ Put the maintenance extension's period in the calendar (when does it expire?)
- ☐ Handed over to the client: the data needed for the cover changeover (values built in, as-built documentation)
- ☐ For an annual open cover: the project's closure has been recorded in the open-cover register
During the maintenance stage
- ☐ For call-backs: document the work carried out (now in an operating environment – timing article)
- ☐ For a loss during maintenance-period work: notify the insurer's claims line, citing the extension
- ☐ At the end of the stage: archive the project's insurance file (policy, certificates, claims)
The client's side carries the other half of the same day: starting the operational cover – for that, the sister site vagyon.biz continues the story. If you'd like the whole changeover handled in one place: consultation.
